Summary Description

This position is responsible for answering phones, greeting visitors and assisting office personnel with administrative tasks.  Provides daily support to Administrators.

Duties and Responsibilities

Essential

  • Answers and professionally handles all incoming telephone calls for the Company.  Ensures timely distribution of incoming faxes throughout the day.
  • Maintains files of office equipment and machines and calls for service when needed i.e., copiers, faxes, coffee machines, etc.
  • Orders office supplies as needed or as directed by purchasing.
  • Prepares overnight carrier packages and labels, and maintains shipping supply stock.
  • Assists with scheduling and organizing business meetings.
  • Assists with the preparation of business forms, letters, labels, etc. as needed.
  • Handles all activities associated with onboarding of new employees – setting up work area, acclimation to the business unit, etc.
  • Assists with processing and renewing licenses and permits.
  • Sorts and distribute the mail daily.
  • Assists Administrators with daily functions.  Crosstrain on all functions including timesheet entry, job initialization and COI requests
  • Provides additional administrative duties as needed.
  • Assist in collating and inputting monthly safety data for jobsite safety audits.
  • Assist with scheduling DOT physicals.
  • Maintain the personal protective equipment (PPE) inventory for all offices and order enough to supply the needs for each business unit.
  • Maintain inventory of all first aid kits and provides to field operations as needed or requested.

Job Requirements

Skills/Education

  • High school diploma or equivalent.
  • Working knowledge of Windows based software programs for spreadsheets, word processing, and database management.
  • Excellent phone manner and communications skills with customers and in-house personnel.
  • Ability to work under pressure and multi-task.
  • High degree of flexibility/adaptability.

Physical Requirements

  • Working a minimum of 40 hours/week.
  • Sitting 6 to 8 hours/day.
  • Lifting weights of 0 to 30 lbs. from floor to above shoulders.
  • Repetitive use of hands for writing, typing, data entry, and filing.
  • Vision adequate for daily and consistent computer use and reading
  • Hearing adequate for phone use.
